SBCCD Printing Services

Guidelines and General Information

The Printing Services Department provides the following services to District-funded operations: quick copy, graphic design, offset printing, bindery, color copies, laminating and wide format printing (max. 36” wide). Chartered student body activities and categorical funded programs also have access to the previously listed services. These organizations must first submit a purchase order form to Print Services to reimburse the costs of services rendered.  See Administrative Regulation No. 3715.

Routine print jobs can be requested by filling out a quick copy requisition form.  Attach the form to a sample of your job and place it in the departmental mail for delivery.

Online requests are also available by visiting our website at: dets.sbccd.org, under the Printing Services link.

Some jobs still require a print requisition via campus mail. These include: departmental forms, color copies – limit 500, stationary and paper orders.

More complicated jobs involving graphics require a scheduled meeting and should be arranged with the Printing Services Secretary. At that time a graphics requisition form will be completed, dates and printing timelines will be administered.

Printing services operates on a first come first served basis and schedules jobs accordingly.

Printing Services Priorities

  1. Registration Materials - enrollment information, class schedules, registration forms, etc.
  2. Instructional Material - syllabuses, worksheets, test forms.
  3. Critical Dated Material - personnel announcements, Board of Trustees materials, specialized forms, charts or graphs, and approved recruiting information.
  4. Miscellaneous Materials - general brochures, posters, newsletters, business cards, flyers, etc.

Service Requisitions

A standard 3-part requisition form may be obtained from the Printing Services Department. The WHITE and YELLOW copies should be forwarded with the job to the Printing Services Department. The PINK copy should be retained for your records. Should you need to track a job, refer to the job number on your PINK copy, this number will help us to locate your job more efficiently.

When filling out the requisition forms please be clear and concise.  Incomplete or unclear forms will be returned. ASAP as a due date will NOT be accepted. All requisitions must be signed by authorized or responsible personnel and requisitions from chartered student body activities must be signed by the coordinator of the club, association, etc.

Scheduling Projects

The design and printing process takes time, at least ten working days are needed for most print and graphic jobs (except quick copy). Major projects such as registration material and critical dated material are priorities. Prior arrangements must be made for extensive projects such as: booklets and large quantities. Projects will not be scheduled until ALL copy and materials have been submitted to the Printing Services Department.

Quick Copy

The quick copy system prints copies at a high rate of copies per minute, displaying superior quality and better efficiency compared to a standard copy machine. All Originals to be reproduced must be submitted on white paper. Please allow a minimum of 1/4” for margins. Printing on 2 or 3 part (NCR) carbonless paper is not considered a quick copy job.      

The Printing Services Department is not responsible for the delivery of printed jobs. Pickup and delivery of printed materials is coordinated by SBCCD Facilities Planning. For information or questions, call 382-4010.

If your request is urgent, pick-up is advised.

Graphics

A little creativity and imagination can go a long way.  Before starting your project with Printing Services, think about what you want to communicate to your audience. Our graphic artists can help with brainstorming and creating sketches of your ideas. We have a large library of professional quality clip art and stock photography that can help to communicate those ideas.

Please organize all material in a clear and understandable manner. Type written copy and other electronic files are advisable; this will help avoid time consuming errors.

An appointment is necessary for all graphic consultations.

Offset Printing

Offset printing is used for projects requiring large quantities and/or superior quality. Offset printing is normally used for reproduction work requiring color inks and specific paper. Envelopes and jobs larger than 8.5x14 (11x17 max) will be scheduled to print on the offset press.

This method involves more preparatory steps than the quick copy method, requiring a minimum of 10 working days for completion.

Bindery Work

Bindery work includes: collating, stapling, folding, cutting, spiral binding, 3-hole punch, padding and shrink wrapping.

Expanded Services

• Color copying on demand - quality color copies from 8 1/2 x 11 up to 11 x 17 
• Wide format printing – up to 36 x roll 
• Laminating – useful in protecting frequently used prints

While the cost of these expanded services prohibits us from providing them free of charge, we are able to provide them to you at cost.

Compatible Software Programs

The Graphics Department has both Windows and Macintosh computers. Most files are compatible with the software programs we have available.

Programs that are NOT accepted or compatible are: Printshop, Print Artist, and Calendar Maker.

Proofing

Each person submitting a job is responsible for proofreading and approving their own material. The proof should be returned within 2 working days in order to stay within the 10 day working schedule. Should there be any further corrections and changes a second proof will be provided. The job will not be printed until a proof slip has been signed or an email has been received stating: OK TO PRINT. For every day delayed in proofing, the printing schedule will be extended one day. 

Photographs

The printing of photographs starts with the quality of the original. All photographs must be approved by the Printing Services Supervisor prior to submission for printing.

Recruiting Materials

Printing of recruiting materials requires approval by the college president or designee prior to submission to the Printing Services Department.

Newsletters

Newsletters which require typesetting, graphic design and/or printing for distribution off campus must be approved by the responsibility center manager prior to submission to the Printing Services Department.

Paper Usage

Multiple cases of paper will be issued only after a detailed explanation of the proposed use is provided. Contact the Printing Services Department Supervisor for assistance on such requests. Colored paper will not be issued for use in copiers.

Contract Printing

Outside vendors will be used only when Printing Services cannot accomplish the work received. The Printing Services Supervisor must authorize such work. See Administrative Regulation No. 3715.

Letterhead, Envelopes and Business Cards

Design of letterheads, envelopes and business cards requests need to be approved by the SBCCD Board of Trustees.

Business Cards

Business cards are standard and are available for all contract employees. 

Greeting Cards

No holiday greeting cards or other such material will be printed or reproduced.

Miscellaneous

The Printing Services Department cannot print bulk mail flyers or envelopes without the approval of the responsibility center manager or his/her designee.

Legislative Compliance:
Government Code Sections 7525, 7526, 7527, and 7530 require that letterhead, stationary, and identification cards be identified as representing a public agency, public entity, district, city, county, or city and county.

Copyright Laws
